Contract Management

Contracts That Track Themselves

From the first draft to the last installment, each contract keeps its text, team, payments, files and history in one record.

Types and Templates

Define contract types, each linked to its own template. Choosing a type fills in the contract text and the team members, and you can still edit them for a single contract.

  • Contract types with templates
  • Templates from a link, path or HTML
  • Contract text filled automatically
  • Team members from the type

Clear Terms

Write the scope of work, the client's obligations and your company's obligations in structured fields, so everyone knows what was agreed.

  • Scope of work
  • Client obligations
  • Company obligations
  • Internal notes

Value and Installments

Set the contract value and choose a single payment or installments. BOOM ERP can split the value evenly and spread the due dates over the contract period.

  • Single payment or installments
  • Automatic even distribution
  • Partial payments recorded
  • Tax and payment mode

Payment Reminders

Upcoming and overdue payments are listed for each responsible staff member, and the responsible person is reminded if an installment is still unpaid a week after its due date.

  • Upcoming payments list
  • Overdue payments list
  • Reminder a week after the due date
  • Mark paid or unpaid

Currencies and Extras

Keep each contract in its own currency and see totals converted to your reporting currency. Side items with their own amount and date never affect the contract value.

  • Contract currency
  • Reporting currency conversion
  • Refresh exchange rates
  • Extras kept separate

Expiry and Renewal

A reminder goes out seven days before the end date. Past the end date, the contract is set to expired and becomes read-only; renew it with new dates and the history is kept.

  • Reminder 7 days before expiry
  • Automatic expiry
  • Read-only once expired
  • Renewal history

Freeze or Cancel

Freeze a contract for a set period, or cancel it — both require a reason, so the record always explains why a contract stopped.

  • Freeze with a period
  • Reason required to freeze
  • Reason required to cancel
  • Status changes logged

No Overlapping Contracts

If the client already has a live contract of the same type in an overlapping period, saving is blocked. New contracts can be required to have a value and at least one payment.

  • Overlap check by client and type
  • Value and payment required
  • Incomplete contracts listed
  • Rules you can switch in settings

Contracts: Know What Is Owed and What Ends Next

A contract in a folder cannot remind anyone. In BOOM ERP the contract knows its value, its installments and its end date, and it tells the responsible person when something needs attention.

When a contract passes its end date, it is set to expired automatically and becomes read-only. Only staff with the special permission can edit an expired contract, so the agreed terms stay as they were signed.

Contracts are linked to the client in the CRM, and payments sit alongside Finance.

How it works

From Draft to Renewal

1. Choose a type

The template fills the contract text and the team members.

2. Set the value

Pick a single payment or installments and distribute them over the period.

3. Follow up

Mark payments as paid and get reminders for overdue installments.

4. Renew or close

Renew with new dates, or freeze or cancel with a reason.

Capabilities

  • Extras — side items that never change the contract value.
  • Expiry — reminder seven days ahead and automatic expiry.
  • Renewals — new dates with a saved renewal record.
  • Freeze and cancel — each with a required reason.
  • Overlap check — one live contract per client, type and period.
  • Files and history — attachments, internal notes and an activity log.
Questions

Frequently Asked Questions

Can I split a contract into installments?+
Yes. Set the value, choose installments and let BOOM ERP split it evenly with due dates spread over the contract period. You can also record partial payments.
Will I be reminded before a contract ends?+
Yes. A reminder is sent seven days before the end date, once per contract cycle.
What happens when a contract expires?+
It is set to expired automatically and becomes read-only. You can renew it with new dates, and the renewal is recorded.
Can a contract be paused?+
Yes. Freeze it for a set period with a reason. Cancelling also requires a reason.
Can the same client have two overlapping contracts?+
Not of the same type. If a live contract of that type overlaps the new period, saving is blocked. The rule can be changed in the settings.
Do contracts support different currencies?+
Yes. Each contract keeps its currency, and payment totals can be converted to your default reporting currency.
